Amazon settlement reconciliation in Odoo means posting each settlement report as what it really is: sales, minus each type of fee, minus refunds, with reserves held back or released. Book it through an Amazon clearing account, never straight to revenue, and the deposit in your bank should clear that account to zero for each settlement.
This guide is for Amazon sellers who keep their books in Odoo. It covers what sits inside a settlement, how DD+7 and this year’s fee changes moved the timing, and a posting approach most accountants will recognise.
Why the deposit from Amazon never matches your sales
Amazon pays a net figure, not your sales
Amazon is not a customer that pays your invoices one by one. It collects the buyer’s money for the item, shipping and tax. It deducts referral fees, FBA fulfilment fees, storage and other service fees, and the cost of refunds. It may hold some money back as a reserve. Then it pays you the rest in one transfer. The figure in your bank is the net of many lines, sometimes thousands.
Settlement periods do not line up with your month
Amazon’s developer documentation says settlement reports cannot be requested or scheduled; Amazon schedules them itself. Accounting tools that import them report a typical cycle of about every 14 days. So a settlement often starts in one month, ends in the next, and is paid after both. October sales and October deposits are different numbers by design.
What sits inside one Amazon settlement report
The report to work from is the Flat File V2 settlement report. Amazon’s Selling Partner API documentation describes it as the replacement for the older flat file and XML settlement reports, which are now marked as deprecated. Each row carries the settlement ID, the settlement start and end dates, the deposit date, the total amount and currency, the transaction type, the order ID, the marketplace name and the posted date.
The money sits in three columns: amount-type, amount-description and amount. So a new fee does not get a new column; it arrives as a new amount-description. Amazon also notes that amounts use local number formats, so a European file can show 95,00 instead of 95.00. An import that assumes a fixed list of fees, or a full stop as the decimal mark, will go wrong quietly.
The parts of an Amazon settlement report to map in Odoo
In practice the rows fall into a handful of groups:
- Sales: the item price, shipping charged to the buyer, and the tax on them.
- Fees, by type: referral fees, FBA fulfilment fees, storage and other service fees. Each has its own description.
- Refunds: the refunded price and tax, and the fee adjustments that come with a refund.
- Other transactions: reimbursements, adjustments and other charges.
- Reserves: an amount held back in this settlement and, often, an earlier reserve released into it.
- The net total: the amount Amazon transfers. Reconcile it last; never post it first.
How DD+7 and the 2026 fee changes moved the timing
Amazon DD+7: eligible seven days after delivery
DD+7 stands for delivery date plus seven days. Under it, the money from an order becomes eligible for payout seven days after Amazon confirms delivery, not when the order ships. Trade press reports that it has applied to UK and EU sellers since September 2025 and to US sellers since 12 March 2026. Amazon’s stated reason, as reported, is to keep funds available for refunds, claims and chargebacks.
For your books, the sale has not changed; only the cash timing has. Orders delivered late in a settlement period are more likely to sit in a reserve and come through later. Judged by deposits alone, sales can look as if they fell. They did not.
The 3.5% fuel and logistics surcharge on FBA fees
From 17 April 2026, according to Amazon’s Seller Central post as reported by Chain Store Age, a 3.5% fuel and logistics surcharge applies to FBA fulfilment fees in the US and Canada, and to Remote Fulfillment with FBA from the US into Canada, Mexico and Brazil. It is calculated on the fulfilment fee, not the sale price, and Amazon called it temporary. Check how it shows up in your own settlement files. If it has its own description, map it to its own account. If it sits inside the fulfilment fee, your per-unit cost simply went up.
Reconciling Amazon settlements by hand?
Tell us which marketplaces you sell on and how you fulfil. We will tell you plainly what it takes to get settlement and transaction data into your Odoo, and the connector price is published.

There is more than one correct way to do this, and your accountant may prefer a variation. This approach is common, keeps the profit and loss honest and makes the bank match easy.
Put Amazon in a clearing account
Treat Amazon as a party that owes you money. Order invoices, or a summary entry, post sales against an Amazon receivable or clearing account, not the bank. Each settlement becomes one journal entry that takes out the fees, refunds and reserves in the report. The deposit clears what is left. If a settlement’s balance is not zero after the deposit, something is missing, and you know which settlement to open. Put the settlement ID in the reference of every entry.
Give each Amazon fee type its own account
Referral, FBA fulfilment, storage, inbound and placement fees, advertising charged to your seller account, and other service fees each deserve their own expense account or analytic tag. That is how you see which products still make money after fees. One line called “Amazon fees” tells you nothing.
Post refunds as contra-revenue
A refund reverses a sale, so it belongs against revenue, as a credit note or a sales returns account, with the tax reversed too. Refunds often carry fee adjustments. Post those to the same fee accounts as the original charge.
Treat reserves as a balance, not a cost
A reserve is still your money. When Amazon holds an amount back, move it from the clearing account to an Amazon reserve account on the balance sheet. When a later settlement releases it, move it back. Posting reserves as an expense makes one period look worse and the next look better than it was.
Reconcile Amazon payouts in Odoo against the bank line
In Odoo’s bank reconciliation, each statement line is matched against open journal items, with reconciliation models for operations you repeat. For Amazon, the deposit should match the open balance one settlement leaves on the clearing account.
One caution: Odoo’s default matching rules include a tolerance of up to 3% for merchant fees, rounding and user errors. For an Amazon deposit you want an exact match to the settlement total, because a gap means a line was missed.
| Settlement line | Where it usually goes in Odoo |
|---|---|
| Sales and shipping charged | Revenue, against the Amazon clearing account |
| Tax you are liable for | Tax payable, against the Amazon clearing account |
| Marketplace-facilitated tax | Kept apart from your own tax; treatment agreed with your accountant |
| Each fee type | Its own expense account or analytic tag |
| Refunds | Credit note or sales returns, with tax reversed |
| Reserve held or released | Amazon reserve account on the balance sheet |
| Net deposit | Bank, clearing that settlement’s balance to zero |
Mistakes that make Amazon month-end harder
Posting the net deposit as revenue
It is quick, and it makes every report after it wrong. Revenue is understated, fees vanish from the profit and loss, and nobody can explain the margin on any product.
Ignoring reserves
If reserves are not tracked, the clearing account never reaches zero and the gap gets written off as an “Amazon adjustment”. Months later nobody can say whether money is missing or simply still held. Under DD+7 that gap can appear in every settlement.
Mixing marketplaces and currencies
Every settlement report carries a currency and a marketplace name. If you sell on Amazon.com, Amazon.ae and Amazon.in, keep a clearing account or journal per marketplace and currency, or at least tag every line. One shared account turns exchange differences into balances nobody can explain.
Treating marketplace-facilitated tax as your own
In many US states and in other countries, Amazon collects and remits certain taxes as the marketplace facilitator. Accounting software vendors report that the settlement shows that tax collected and then withheld by an equal line, so it nets to zero. Post it as your own liability and you overstate what you owe; post it as revenue and you overstate sales. Keep it apart from the tax you are liable for.
Where an automated connector helps
All of this can be done by hand from the downloaded report. It gets slow as volume rises, across several marketplaces, or when a new fee description appears and nobody notices.
Our Amazon Connector for Odoo is built for this part of the job. Its product page states that Amazon settlement and transaction data is reconciled in Odoo, that marketplace-facilitated tax collected and remitted by Amazon is recorded distinctly from seller-liable tax, and that tax invoices are created in Odoo for Amazon orders. It covers the IN, US, UK, CA, MX, BR, AE, SA, EG, JP and SG marketplaces, for Seller Central, and costs USD 500. The settlement and reconciliation section of the setup guide shows how it is configured.
A connector does not choose your chart of accounts; your accountant does. It removes the retyping and the missed lines. If you are weighing options, our comparison of Odoo Amazon connectors sets out the alternatives side by side, including Odoo’s own. Before your next settlement arrives
- Download your last three Flat File V2 settlement reports and list every amount-description.
- With your accountant, map each one to an account or analytic tag.
- Create an Amazon clearing account and an Amazon reserve account for each marketplace and currency.
- Post one settlement by hand, end to end, and check that the deposit clears it to zero.
- Then automate it, and keep watching for new descriptions.
Nothing here is accounting or tax advice. Check the treatment of revenue, reserves and marketplace-facilitated tax with your accountant before you rely on it.
