AI voice agent for insurance companies: calls, CRM tickets and KYC documents in one flow

We built an AI voice agent for an insurance company. It answers customer calls, opens and updates tickets in the CRM, reads KYC documents customers send on WhatsApp, and follows up when a customer promises a document later. It works with Zoho CRM, Salesforce or your own CRM, in India, the UAE, the US and the UK.

What the insurance voice agent does

Most insurance calls are about something unfinished: a policy that needs a document, a claim waiting on a form, a renewal waiting on KYC. The work is not answering the call. It is opening the ticket, chasing the missing piece and closing the loop. This agent does all three, and your team steps in only where judgement is needed.

Answers every call

Handles routine policy and service questions in a natural voice, any time of day, and hands the call to a person with full context when it should.

Tickets that keep themselves up to date

Creates a ticket in your CRM for each request and updates it after every call or message, so the ticket always shows where things stand.

KYC documents from WhatsApp

Customers send a photo of their document on WhatsApp. The agent recognises it, for example an Aadhaar or PAN card, extracts the details with AI and OCR, and updates the customer record.

Follows up on promises

"I'll send it tomorrow" becomes a scheduled reminder on the ticket. If the document does not arrive, the customer is reminded; when it does, the ticket moves on by itself.

Your CRM, not a new one

Works with Zoho CRM, Salesforce and custom CRMs. Your team keeps working in the system they know; the agent writes into it.

Cloud and MCP server

The agent reaches your CRM and cloud systems through an MCP server that controls exactly which records and actions the AI may use.

How one customer request flows

An example: a customer calls about a policy that is waiting for KYC. No one on your team touches it until a decision is needed.

01

The customer calls

The agent answers, identifies the customer from the CRM, and understands the request: the policy is on hold because a document is missing.

→
02

A ticket opens in the CRM

The agent creates the ticket, or updates the existing one, with a summary of the call and what is still needed.

→
03

The customer promises the document

"I'll send my PAN card tomorrow morning." The agent records the promise and the time on the ticket.

→
04

A reminder goes out if it does not arrive

At the promised time the agent sends a WhatsApp reminder. Outside WhatsApp's 24-hour window it uses an approved template, and the customer can opt out.

→
05

The document arrives and is read

The customer sends a photo on WhatsApp. The agent recognises the document type, extracts the details and writes them to the customer record.

→
06

The ticket moves on

The ticket status updates, and your team sees a complete, checked record. Anything unclear goes to a person instead of being guessed.

Built for an insurance company

An insurance company asked us for an agent that could answer customer queries by voice and take the paperwork off its team. We built the voice agent, connected it to the company's CRM for ticket creation and updates, added KYC document recognition for Aadhaar and PAN cards received on WhatsApp, and built the follow-up loop for documents customers promise to send later. The agent connects to the company's cloud systems through an MCP server. We do not name our clients without their permission, and we will publish results here when they are measured.

KYC documents, handled the way your regulator expects

An agent that reads ID documents has to be set up with care. These are the rules we design around in each market. They support your compliance; they do not replace your compliance team or legal advice.

India

Before asking for Aadhaar, the customer is told why and offered alternatives such as PAN, passport or driving licence, as UIDAI's regulations require. We configure masking so only the last four Aadhaar digits reach the CRM, matching IRDAI's rule for CKYC uploads. The agent fits IRDAI's KYC routes, including CKYC and Video KYC, and supports the DPDP Rules 2025, whose main obligations apply from around May 2027. Outbound service calls run on your 1600-series numbers.

UAE

Central Bank guidance for insurers expects Emirates ID to be verified through the federal identity authority's gateway or UAE Pass, with a copy and the verification record kept. The agent collects and files documents; verification runs through those official channels. Data handling follows the UAE data protection law and your own policies.

United States

The FCC ruled in 2024 that AI-generated voices count as artificial voices under the TCPA, so outbound AI calls need the customer's prior express consent. Several states require every party's consent to record a call, so the agent gives a recording notice. Inbound calls and follow-ups are set up with both in mind.

United Kingdom

The FCA's Consumer Duty expects customer support that does not create unreasonable barriers. The agent hands over to a person whenever asked, and every conversation is logged against the ticket. Personal data is handled under UK GDPR and the Data (Use and Access) Act 2025.

What the agent does not do

An agent that knows its limits is easier to trust. These stay with your people.

No underwriting or claim decisions

It collects, files and follows up. Decisions on cover, claims and exceptions stay with your licensed team.

No guessing on documents

If a document is unclear, expired or does not match the customer, it goes to a person for review instead of being written to the CRM.

No certification claims

We are a software company, not a KYC registry or a regulator. The agent supports your process; your compliance team signs it off.

Questions we get asked

Insurance AI voice agent — FAQ

It answers customer calls, handles routine policy and service questions, and opens or updates a ticket in your CRM for every request. When a customer needs to send a KYC document, it receives the document on WhatsApp, reads the details with AI and OCR, and updates the customer record. If the customer promises to send it later, it schedules a reminder and closes the loop when the document arrives.

Zoho CRM, Salesforce, and custom or in-house CRMs that have an API. The agent creates tickets, adds call notes, updates ticket status and writes the extracted KYC fields to the customer record. We map the fields to your CRM during set-up.

The customer shares a photo of the card on WhatsApp, or through a secure upload link if your policy prefers that. The agent reads the fields, and we configure Aadhaar masking so only the last four digits reach the CRM. Before asking for Aadhaar, the customer is told why it is needed and offered alternatives such as PAN, passport or driving licence, as UIDAI's rules require. The agent never asks a customer to type an ID number into the chat.

The agent records the promise and the time, for example two hours or tomorrow, on the ticket. At that time it sends a reminder. If the customer has not messaged in the last 24 hours, WhatsApp only allows an approved template, so reminders are set up as templates. When the document arrives, the agent reads it, updates the CRM and moves the ticket on.

No software is compliant on its own; compliance depends on how your company runs it. The agent is designed to support your obligations: consent notices, masking, retention limits, access logs and a route to a human. It fits into your existing KYC process, such as CKYC or Video KYC in India. Your compliance team and counsel should review the set-up before go-live.

Yes. The call, ticket and follow-up flow is the same. What changes is the KYC document and the rules around it: Emirates ID checks in the UAE are usually done through the federal identity gateway or UAE Pass, and US outbound calls with an AI voice need the customer's prior express consent under the FCC's 2024 ruling. We set the agent up for the market it runs in.

Yes, at any point. On a call the agent transfers to your team with the ticket and a summary, so the customer does not repeat themselves. On WhatsApp, every conversation has a route to a person, which WhatsApp's business policy also requires.

The agent reaches your CRM and cloud systems through an MCP server, a controlled layer that decides exactly which records and actions the AI can use. It keeps the AI away from anything it should not touch and makes it easier to add systems later. Read more on our MCP servers page.

Regulatory points on this page summarise published rules from UIDAI, IRDAI, India's DPDP Rules 2025, TRAI, the Central Bank of the UAE, the US FCC and the UK FCA at the time of writing. They are not legal advice; confirm current requirements with your compliance team. Zoho, Salesforce, WhatsApp, Aadhaar and other names are trademarks of their owners.
